Front Office Representative – Patient Services

About the role

We are seeking a Front Office Representative to be the first point of contact for patients at our gastroenterology clinic. The role combines clerical, administrative and customer‑service duties to ensure smooth patient flow and accurate billing.

Key responsibilities

• Greet patients and visitors promptly, provide directions and assist with check‑in procedures.
• Verify and update patient information in the Greenway system, scan required documents, and collect co‑payments and outstanding balances.
• Generate fee tickets, assemble patient charts, and manage end‑of‑day batch closures.
• Distribute HIPAA and release forms, obtain referrals, and communicate patient arrivals to clinical staff.
• Monitor appointment schedules, coordinate patient flow, and report no‑shows.
• Maintain a clean waiting area, answer emails/voicemails, and return patient calls in a timely manner.
• Support other practice functions such as phone triage, scheduling, pre‑certification and medical records as needed.
• Participate in staff meetings, marketing activities and special projects as directed.

Required profile

• High School Diploma or GED; Certified Medical Assistant preferred.
• 2–3 years of experience in a specialty clinic, preferably gastroenterology.
• Professional, courteous demeanor with strong compassion for patients.
• Ability to multitask, prioritize and work under pressure.
• Commitment to HIPAA compliance and patient confidentiality.

Required skills

• Proficiency with the Greenway electronic health‑record system.
• Computer literacy and competence in Microsoft Office applications.
