Space Administrator & Program Facilitator

About the role

We are seeking a Space Administrator & Program Facilitator to keep our hub in Heraklion running smoothly while acting as the welcoming face of our programmes. The role blends day‑to‑day facilities management with hands‑on support for workshops, trainings and online events.

Key responsibilities

• Maintain the hub space tidy, functional and welcoming for staff and visitors.
• Order supplies, manage inventory and handle daily practical matters.
• Coordinate maintenance and repairs with technicians or suppliers.
• Set up rooms, move furniture and adjust equipment for events, workshops and meetings.
• Host and support events, including weekend sessions, ensuring all legal and compensation procedures are followed.
• Facilitate programmes on‑site and online by greeting participants, guiding session flow and providing assistance.
• Provide technical support for digital meetings (Zoom breakout rooms, polls, etc.).

Required profile

• Enjoys organization, clear communication and a hands‑on approach.
• Comfortable interacting with participants and representing the organisation.
• Willing to work flexible hours, including occasional weekends.
• Committed to learning the organisation’s methodologies through provided training.

Required skills

• Proficiency with Zoom for online meetings.
• Experience using Google Workspace (Docs, Sheets, Drive).
• Familiarity with Slack for team communication.
• Ability to navigate Asana or similar project‑management tools.
